Responsibilities

This position reports to the Company President and provides secretarial, administrative and business management support to that role as well as the Executive Leadership Team. Coordinating local and remote teams’ schedules and planning is required. The work entails tremendous confidentiality, high energy, initiative, judgment, knowledge, and strong attention to detail. Coordinates administrative and logistical details associated with the day to day operations of the team including scheduling meetings, assisting with room setup, lunch ordering, clean-up, etc. Performs a variety of secretarial duties, which may be complex or confidential to include: travel arrangements, travel itineraries, agendas, advances, expense reports, B&P requests, submission of check requests, etc. Duties will require broad and comprehensive knowledge of the organization's policies and operations, and include assisting in the organization and administration of office procedures.

 

Will be responsible for collecting information needed by team for reports using existing systems such as Deltek, Adept, and SalesForce, and compiling information into presentation formats subject to deadlines.  Additionally, will provide proofreading skills of executives’ documents prior to final submittal. Will be responsible for generating necessary correspondence such as letters, memoranda, interoffice communications, and confidential reports, as well as recording meeting minutes at select executive meetings. Individual will also be responsible for support of other groups and Senior Leadership staff as necessary. Provides reception/switchboard relief coverage.

 

Basic requirements:

  • Bachelor's degree or equivalent, and five to seven years of related experience.
  • Proficiency with Microsoft Office Suite (Excel, Powerpoint, Word, Outlook)
  • Knowledge of Microsoft Project
  • Strong interpersonal skills
  • Core business hours: 8:00am-5:00pm

Preferred requirements:

  • Knowledge of SalesForce, Adept database, and Deltek/Costpoint accounting systems
  • Experience providing support to remotely located staff
